Who we are

Knotweed Removal UK (“we”, “us”) runs knotweed-removal.uk. We are the controller of the personal information described in this notice.

We are an introduction service. We pass enquiries, with your permission, to independent knotweed specialists. Those specialists are separate businesses and become controllers of the information we share with them.

What we collect

Enquiries: your name, phone number, email address, the property postcode, your answers about the knotweed, any message you write, and the page you enquired from (including campaign codes in the web address, if any).
Consent record: whether you agreed to us sharing your enquiry, the exact wording you agreed to and when.
Photos: any photo you upload to our photo check, and the result.
Specialist applications: business contact details and information about your company.
Technical information: a scrambled (hashed) version of your IP address, used only to limit abuse, and standard server logs kept by our hosting provider.

How we use it, and our lawful basis

Sharing your enquiry with specialists who cover your area, so they can contact you about a survey or quote. Lawful basis: your consent, given by ticking the box on our form. We share with no more than 3 specialists per enquiry.
Running the service: sending you a confirmation email, answering your questions, keeping records of introductions for billing specialists, and dealing with complaints. Lawful basis: our legitimate interests in operating the service.
Checking enquiries: we use an automated check to flag enquiries that look like spam or tests, and to summarise each enquiry for our team. Flagged enquiries are reviewed by a person; the check never makes a decision with legal or similarly significant effects on you. Lawful basis: our legitimate interests in preventing misuse and handling enquiries efficiently.
Photo check: your photo is analysed automatically to give you an indicative result. Lawful basis: our legitimate interests in providing the tool you've chosen to use.
Specialist applications: to assess your application and contact you. Lawful basis: steps you ask us to take before entering into an agreement.

We don't sell your information, and we don't use it for unrelated marketing.

Knotweed specialists: only with your consent, as above. This includes your contact details, postcode, answers, message and any photo you attached.
Service providers who process information for us: Replit (website hosting and database), Resend (email delivery) and Anthropic (automated analysis for the photo check and enquiry screening). They act on our instructions and may process information outside the UK. Where that happens we rely on safeguards recognised under UK data protection law.
Professional advisers, or authorities where the law requires it.

How long we keep it

Enquiries: 24 months, after which we remove your personal details and keep only an anonymous record needed for our accounts.
Photos not attached to an enquiry: up to 90 days. Photos attached to an enquiry are deleted when the enquiry is anonymised.
Specialist applications: 24 months after we've reviewed them.

Your rights

You can ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, or to transfer it. Where we rely on consent, you can withdraw it at any time; this won't affect sharing that has already happened, and you can contact the specialists directly to ask them to delete their copy.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
